This Privacy Policy explains how Avana Fit Studio (“Avana”, “we”, “us”) collects, uses, discloses and protects personal information across our studio operations and websites, including avana.studio, avana.fit, avana.fitness, posture.avana.studio, and related sub-domains (together, the “Sites”). We collect the personal information needed to deliver our services and run our business, such as:
Identity & contact: name, address, email, phone, date of birth, next of kin.
Service & bookings: membership details, class attendance, preferences, notes.
Health information (Victoria): relevant history, injuries, medications, referrals, care notes, posture photos, gait videos, and 2D/3D measurements captured for assessment/programming (handled as “health information” under Victorian law). Health Victoria

Device/usage (online): IP address, device IDs, pages viewed, and interactions collected via analytics cookies and tracking pixels (see “Cookies & Tracking”).
We usually collect information directly from you (online forms, assessments, bookings, emails, phone, in-studio). We may also receive information from health professionals, your nominated representative, or integrated platforms you use to book and train with us.
We use personal and health information to:
identify you and manage bookings and memberships;
deliver assessments, programs, and classes;
tailor coaching and recommendations;
process payments and prevent fraud;
run analytics, improve the Sites and services, and fix issues;
send service messages (e.g., booking reminders, policy updates) and marketing messages (you can opt out at any time—see “Direct marketing” below); OAIC

We may use your contact details for direct marketing about Avana services, events and offers. You can opt out at any time using the unsubscribe link in our emails or by contacting us. We comply with APP 7 and applicable email/SMS rules (e.g., the Spam Act 2003). OAIC+1

Payments: Stripe (and related services such as Apple Pay/Google Pay where enabled)

Email & CRM: MailerLite
Analytics/ads: Google Analytics 4, Meta (Facebook)
Professional & operational support: IT/security, hosting, legal, accounting, and insurers
Where appropriate, we share de-identified statistics. We may also disclose information if required or authorised by law, or to reduce a serious threat to life or health.
Some providers store data in other countries (commonly the United States and the European Union). Where we disclose personal information overseas, we take reasonable steps to ensure the recipient will handle it consistently with the APPs (APP 8). Health information is only transferred outside Victoria in line with Victorian transborder safeguards. OAIC+1
We use cookies and third-party tracking pixels (e.g., GA4, Meta) to operate the Sites, understand performance, improve content, and measure ads. You can manage preferences via our cookie banner and your browser settings; some features may not work without certain cookies. We follow OAIC guidance for tracking pixels. OAIC
For assessments, programming and care coordination, we may collect and handle health information (including posture images, gait videos, and body measurements). We obtain your consent where required and limit use to care delivery and related operations unless the law permits otherwise. We use administrative, technical and physical safeguards to protect personal information against unauthorised access, modification or disclosure. No method is perfectly secure; we review controls regularly and train staff on privacy and security.
If a data breach is likely to cause serious harm, we will promptly assess and, if it is an eligible data breach, notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme. OAIC+1
Where practicable, you may interact with us without identifying yourself (for example, general website browsing or basic enquiries). However, we may be unable to provide certain services without necessary personal information (e.g., bookings, assessments). OAIC

We keep personal information only as long as needed for the purposes above or as required by law, then delete or de-identify it. Health records in Victoria: retain for 7 years from the last entry for adults; until age 25 for records created while the individual was a child. AustLII
We do not knowingly collect personal information from children without parent/guardian consent. If you believe a child has provided information without consent, please contact us so we can delete it.
Our Sites may link to third-party sites. We don’t control those sites and are not responsible for their content or privacy practices.
We may update this policy from time to time. The latest version will be posted on our Sites with an updated effective date.
